What information we collect

• Your name, email address, phone number and postal address.

• Details of your flat, building, lease and service charges that you share with us.

• Information you give us on our forms, when you book a call, or when you email or speak to us.

• Records of our calls, meetings and correspondence with you.

• Payment and invoicing details if you become a client.

• Basic website data such as pages visited and device type, collected through cookies.

How we use your information

• To reply to your enquiry and send you any guide or checklist you ask for.

• To book and hold calls and Zoom meetings with you.

• To provide our services, including Right to Manage claims, service charge reviews and block support.

• To set up and run RTM companies, including keeping the statutory registers required by law.

• To send invoices and keep our accounts.

• To send you occasional updates and advice by email, which you can stop at any time.

Our legal reasons for using it

• Contract: when we provide a service you have asked for.

• Legitimate interests: replying to enquiries and running our business, where this does not override your rights.

• Legal obligation: keeping company, tax and accounting records.

• Consent: marketing emails and non-essential cookies. You can withdraw consent at any time.

Who we share it with

We never sell your information. We only share it where needed to provide our services, for example with:

• The other leaseholders, directors and members of an RTM company you are involved in, where the law requires or allows it.

• Landlords, freeholders, managing agents, Companies House, the First-tier Tribunal or the Land Registry, as part of a claim or application.

• Solicitors, accountants and other professional advisers.

• Trusted service providers who help us run the business, such as our website and CRM provider, email, video call, e-signature, payment and accounting software.

Some of these providers store data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK-approved contract terms or the UK-US data bridge.

How long we keep it

• Enquiries that do not go further: up to 2 years from our last contact.

• Client and RTM company records: 6 years after our work ends, or longer where the law requires.

• Marketing contacts: until you unsubscribe.

Your rights

You have the right to:

• Ask for a copy of the information we hold about you.

• Ask us to correct anything that is wrong.

• Ask us to delete your information.

• Object to or restrict how we use it.

• Withdraw consent and unsubscribe from emails at any time.

• Ask for your information to be passed to another organisation.
